Loom Overview

Introducing the Viewer Role (Read-Only Access)

The new Viewer role provides read-only, school-wide visibility into student progress and course data, without granting any ability to modify settings, scores, or enrollments. This role was created to support counselors, aides, paraprofessionals, and district-level staff who need to monitor student progress but should not have editing permissions.

This article walks through:

  • What Viewers can (and cannot) do

  • How Admins create Viewer accounts

  • What the Viewer experience looks like inside the platform

What the Viewer Role Is

The Viewer role gives users visibility into all student data they need for coaching, case management, or oversight, while ensuring they cannot make changes that impact courses, pacing, or student records.

Viewers Can Access:

All reporting

School-wide student performance

Student progress details

Submissions

Session logs

Course content and lesson context

Work sample generation

Score exports

Scorebooks (view-only)

Viewers Cannot Perform:

Editing scores

Adjusting pacing

Modifying student enrollments

Creating or editing users

Changing course settings

Adjusting environments or sections

This ensures safe visibility without risk of unintended changes.

Creating a Viewer User (Admin Only)

Admins can create a new Viewer user directly from the roster.

To create a Viewer:

Go to Roster.

Select Create New User.

Enter the user’s name and email.

In the Role dropdown, choose Viewer (Read-Only).

Click Submit.

Once created, the user will appear in Pending Invites, clearly labeled with the Viewer role.

Integration Support

If you use an SIS or other automated integration, the Viewer role is now available as a mappable option and can be assigned automatically.

What the Viewer Experience Looks Like

Once the user accepts their invite and logs in, they will see a streamlined, read-only experience.

1. Performance View

Viewers can:

Browse all students

Open any student’s profile

View all available performance data

Generate work samples

Export scores

They cannot:

Edit scores

Modify pacing

Change course settings

2. Student Details & Enrollments

Viewers have access to:

Enrollments

Topics

Lessons

Session logs

They cannot make changes to any of these elements.

3. Scorebook

Viewers can open any scorebook section and review all data but cannot alter it.

4. Roster Restrictions

From the roster, Viewers cannot:

Add or remove users

Create enrollments

Edit student information

This ensures full transparency without risk of accidental edits.

Why the Viewer Role Matters

The new Viewer role helps schools:

Reduce permission risk

Limit who can make changes to student data

Support compliance and accountability

Provide appropriate oversight for counselors and support staff

Simplify SIS role mapping
