Overview
Students sometimes need to move between schools in your district mid-year: a roster correction, a transfer to an alternative campus, a change in program placement. Change School is built for exactly this. It moves a student's enrollments from one school to another within your district, with all coursework, grades, and progress kept intact.
The student needs an account at both the original school and the destination school for this to work. This tool moves existing enrollments between schools the student is already assigned to; it doesn't give a student access to a school they weren't already part of.
The move is all or nothing: either the school changes and every enrollment placement completes together, or nothing changes at all. A student is never left in a partial state.
Where to find it
Go to Roster. Each student row has an overflow menu (⋯), and Change School sits after Reset Password. Clicking it opens the Change School modal.
If you don't see the option, it may not be enabled for your account, or the student may be at a fully SIS integrated school (see "Who can use this" below).
Picking the new school
The modal shows the student's current school as read only text, and a New School dropdown listing the active schools in your district (excluding the current one).
Placing the enrollments
Selecting a new school loads the student's enrollment table, one row per active enrollment, showing Enrollment ID, Course Name, Current Section, and New Section.
Each row loads the destination school's sections for that course. A status indicator shows where that stands: a loading state while sections are retrieved, then a green check once they've loaded. The check just means the sections are ready to choose from; nothing has been saved yet.
Pick a destination section for each enrollment from that row's New Section picker. The Change School button only enables once every row has loaded and every enrollment has a section assigned.
The move itself
Clicking Change School shows a brief processing state: "Making the move... This can take a few seconds."
On success, the modal closes and you're back on Roster with a confirmation: "{Student full name} was moved to {New school} successfully." The student now appears under the new school, and an audit entry records the move.
Completed work, grades, and progress all stay on the student record. Moving a student never erases what they've done.
If something goes wrong
The tool is designed to stop rather than guess:
Confirming without a school or section selected shows a message under the relevant field.
If the destination school has no sections yet, the move is blocked. Create a section there first, then move the student.
If the student has no active enrollments, an info note explains that the school will change but no coursework will move. This doesn't block the move.
If sections fail to load, an inline error appears with a Retry link. If loading keeps failing, refresh the page or contact us at [email protected].
If the move itself fails, nothing changes. The student stays exactly where they were, and you can try again.
There's no partial state anywhere in this process. A failed move leaves the student untouched.
What it doesn't do
No cross district moves. Both schools must be in the same district.
No granting new school access. The student must already have an account at the destination school. This tool moves enrollments between schools a student is already part of; it doesn't add them to a new one.
No moves involving fully SIS integrated schools. Subject never creates, moves, or deletes accounts your SIS owns, so those students are managed through your SIS instead.
No partial moves. All of a student's enrollments move together, or nothing does.
No changes to your rostering sync. This feature never writes to your SIS.
Who can use this
District admins with the Change School permission, for students at manually managed and hybrid schools.
FAQ
Does the student need to already have an account at the new school?
Yes. The student must have an account at both the original school and the destination school for enrollments to move successfully. This tool doesn't create new school access; it moves existing enrollments between schools the student is already assigned to.
Does the student lose any work when they move?
No. Completed work, grades, and progress all stay on the student record. The move relocates the account; it doesn't reset anything.
Can I move a student to a school in another district?
Not with this tool. Both schools must be in the same district. If you have a cross district situation, contact your Subject team.
Why don't I see Change School for some students?
Students at fully SIS integrated schools are managed by your SIS, so the option is hidden for them. If the student is at a manually managed school and you still don't see it, your account may not have the permission enabled. Reach out to your Subject team.
Can I move just some of a student's courses?
No. Change School moves the whole student. Every active enrollment has to be placed into a section at the new school before the move can happen.
What if the new school doesn't offer one of the student's courses?
The move requires a destination section for every active enrollment. Create the needed section at the new school first, or drop the enrollment before the move if the course won't continue there.
Will this affect our SIS or rostering sync?
No. This feature makes no changes to your SIS or the rostering sync in either direction.
